About this policy

Who this policy covers

Fibreglaze Products Pty Ltd (ABN 84 086 366 841), trading as Fibreglaze, respects your privacy and handles personal information in accordance with applicable Australian privacy laws. Where the Privacy Act 1988 (Cth) and the Australian Privacy Principles apply to us, we handle personal information consistently with those requirements.

This policy applies to personal information we handle through this website, enquiries, quotations, site visits, project administration and the delivery of our services. A shorter collection notice may also be provided when you give us information. That notice should be read with this policy.

Relevant details

We ask for information that helps us understand your pool, respond and manage requested work.

Care with photos

Upload pool and work-area images only, without people or unrelated private information where possible.

Your information

You can ask about the personal information we hold and request access or correction.

Information we collect

Information relevant to your enquiry or project

The kinds of personal information we collect depend on how you deal with us and what work you ask us to consider.

Contact and enquiry details

This may include your name, email address, telephone number, suburb or property location, preferred contact method and the content of your enquiry or correspondence.

Pool, property and project information

We may collect details about the pool and property, including the pool type, dimensions, interior condition, visible damage, access, previous work, intended use, requested outcome and information needed to assess, quote, schedule or deliver the work.

Photographs, drawings and documents

You may choose to provide photographs, drawings or documents relevant to the pool or work area. Files can contain personal information and technical metadata, including location or device information. Please remove anything that is not needed for the enquiry.

Business and service records

If an enquiry proceeds, we may keep quotation, appointment, project, communication, billing, warranty, complaint and other administration records reasonably connected with the work.

Collection and use

How information reaches us and why we use it

We usually collect personal information directly from you through our website, by telephone or email, during a site visit, or while quoting and carrying out work. We may also receive information from a person you authorise, a property representative, a referrer, a contractor or another party involved in the requested work, where this is reasonably expected or authorised.

What we use it for

We may use personal information to:

  • respond to enquiries and communicate with you;
  • understand the pool, property access and requested work;
  • assess service suitability and prepare or manage a quotation;
  • schedule, deliver and administer agreed work;
  • manage safety, quality, warranties, complaints and business records;
  • maintain and improve our website, services and customer experience;
  • protect our systems, investigate misuse and manage disputes; and
  • meet legal, regulatory, insurance and accounting obligations.

If you do not provide information

You may contact us without identifying yourself where this is practical. However, we will ordinarily need contact, location and pool details to assess an enquiry, prepare a quote or arrange work. If required information is not provided, we may be unable to respond or provide the requested service.

Forms and files

What happens when you use an online enquiry form

An online form submission may be saved in the website database and sent to authorised recipients by email. The submission can include the details and files you provide, any acknowledgement or consent choice shown on the form, the date and time, and the page from which the enquiry was sent.

If your enquiry progresses, relevant details and files may also be entered into the systems used to prepare quotes, schedule work, communicate with you and administer the project. This can include job-management, email, file-storage and business-record systems.

Upload only what is needed

Please upload photographs or documents relevant to the pool or work area only. Where possible, avoid identifiable people—especially children—identification documents, vehicle registration numbers, neighbouring properties and unrelated private information. Do not send sensitive information unless we specifically request it and there is a clear need.

If we wish to use an enquiry photograph publicly in a gallery, case study, testimonial or advertising, we will first seek your permission unless the use is otherwise required or authorised by law.

Website use

Technical information, cookies and similar technologies

When you visit the website, our hosting, security and website systems may automatically record technical information such as your IP address, browser and device type, referring page, pages viewed, approximate location derived from an IP address, date and time, and security or error events.

The website may use cookies and similar technologies for essential operation, security, preferences, performance and, where enabled, site measurement or analytics. You can block or delete cookies through your browser, although parts of the website may not work as intended. If a separate cookie notice or settings tool is displayed, it provides additional information and choices for the technologies then in use.

Disclosure

Who may receive personal information

We may disclose relevant personal information to:

  • authorised Fibreglaze personnel and contractors involved in assessing, quoting, scheduling or delivering requested work;
  • providers supporting website hosting, forms, email, security, file storage, backups, information technology, communications and job management;
  • professional advisers, insurers, auditors and debt-recovery providers where reasonably required;
  • government agencies, regulators, courts or law-enforcement bodies where required or authorised by law; and
  • another party where you direct or authorise us to do so.

We do not disclose personal information for unrelated third-party marketing unless you authorise it or applicable law otherwise permits or requires the disclosure.

Service providers

Some technology providers may operate overseas

Some providers that support our website, email, storage, communications or business systems may process or store information outside Australia. The locations involved depend on the provider and service used and may change over time.

Where Australian privacy law requires it, we take reasonable steps in relation to overseas handling of personal information. Contact us if you would like more information about known overseas arrangements relevant to your information.

Your choices

Service messages and direct marketing are different

Messages whose sole purpose is to respond to an enquiry, provide a quote, arrange work or administer an existing project are service communications. A message that also contains promotional material may be a commercial electronic message and will be handled under applicable marketing laws.

We may send separate news or promotional communications where you have consented or applicable law otherwise permits. You can opt out of electronic marketing by using the unsubscribe facility in the message or contacting us. We will action electronic unsubscribe requests within five working days. Opting out of marketing does not prevent necessary service communications.

Protection and retention

How we protect and retain information

We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. No website, email or storage system can be guaranteed completely secure.

How long we keep information depends on why it was collected and any continuing enquiry, quotation, project, warranty, safety, accounting, insurance, dispute-resolution or legal need. When personal information is no longer needed for a purpose permitted by law and is not required to be retained, we take reasonable steps to destroy or de-identify it.

Access and correction

Ask about the information we hold

You can ask for access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details below and mark the request as a privacy enquiry.

We may need to verify your identity before acting. We will generally respond within 30 days. If the Privacy Act 1988 (Cth) applies and we refuse access or correction, we will provide written reasons and available complaint options where required. We do not charge for making a request, although a reasonable access cost may apply where permitted and discussed with you first.

Concerns and complaints

Tell us if something has gone wrong

If you have a privacy concern or complaint, contact us first and include enough detail for us to understand the issue, relevant dates and the outcome you are seeking. We will investigate and aim to respond within 30 days. If the matter is complex or will take longer, we will keep you informed.

If the Privacy Act 1988 (Cth) applies to the matter and we do not respond within 30 days, or you are not satisfied with our response, you may be able to lodge a complaint with the Office of the Australian Information Commissioner.

Policy updates

We may update this policy

We may revise this policy when our website, services, providers, legal obligations or information-handling practices change. The current version will be published on this page with its updated date. This policy does not limit any rights or obligations under applicable law.
